This policy governs the use of artificial intelligence (AI) tools in ISA activities. These include but are not limited to uploading ISA materials for summarization, note-taking, transcribing, or recording meetings which involve ISA or any of its entities.
ISA intends to leverage AI capabilities in a responsible and ethical manner that respects privacy and ensures IP protection.
This policy applies to all members, employees, volunteers, contractors, consultants, attendees, and any guests. Failure to comply with this policy may result in disciplinary and/or legal action, as well as an immediate loss of access to ISA premises, meetings, systems, and information.
ISA reserves the right to monitor and audit the use of AI tools to ensure compliance with this and its other policies and to protect its intellectual property rights.
Intellectual Property
Under no circumstances shall any ISA material, whether draft or final, be uploaded into or shared with any AI tool for dissemination, consolidation, summarization, proofreading, or creation of derivative works without written permission from the ISA CEO. Permission from the individual author or contributor is NOT sufficient.
Note Taking and Recordings
AI notetaking or recording tools may only be utilized if approved in writing, in advance through an email request to and response from the ISA CEO. If approved, all attendees must be notified at the beginning of the activity. Any AI tool that does not comply with this policy may not be installed and/or used on any official ISA device or account by a person or the tool itself. Any such tool that is discovered by ISA must be removed immediately. Any person who has installed and/or used any tool that is not in compliance with this policy may be subject to further action by the Society.
Data Privacy and Security
Any notes or content generated using an AI tool may contain sensitive information, trade secrets, or other proprietary information. These are confidential and the property of ISA. Access to such is restricted to ISA staff. No one is permitted to share or distribute AI-generated notes without written consent from the ISA CEO.
Human Oversight
AI-generated notes must be reviewed and verified by human participants for accuracy and context. These are not a verbatim transcript nor a substitute for human understanding and interpretation.
